Before diving into a daily routine built on productivity habits, if we want to be effective in our quest for productivity, it’s important to understand the why behind this longing to be more productive.

There is nothing wrong with wanting to do more in less time! The desire for productivity is rooted in a desire for progress and fulfillment. When we’re productive, we feel a sense of accomplishment and satisfaction. We can achieve our goals, improve our lives, and positively impact the world around us. How wonderful is that?

However, it’s also important to notice that productivity isn’t just about getting things done. It’s also about getting the right things done. It’s about aligning our efforts with our values and priorities.

So, the less fun side of this quest will often involve making choices that may seem difficult or uncomfortable, like letting go of that three-hour daily Netflix session or saying no to certain commitments.

What Is the Trick to Productivity?

When starting my productivity haul this year, I struggled to manage my daily productivity goals and social life. I am extremely blessed to have many friends, and many of them also have their own businesses or work from home.

We can go out for coffee or lunch any day of the week. I realized all the multiple 2-—to 3-hour friend dates throughout the week were robbing me of precious time for other goals and making me fall behind on my assignments.

So, I decided to concentrate all friend dates on Friday afternoons or Saturdays. Yes, I am not able to see the same number of friends every week. But I know this is important for this season of life, where I am focused on building my business and other multiple streams of income.

But even when making difficult choices, it’s important to remember that productivity is not the be-all and end-all. Although it’s a valuable tool, it should never come at the expense of our overall well-being.

Finding a balance between productivity and other aspects of life is essential. This balance means taking time for rest, relaxation, and those friend coffee dates. It also means to set boundaries and avoid burnout.

In the next section, we’ll explore some practical strategies for increasing productivity while maintaining a healthy goals-life balance.

Foolproof Productivity Tips: How Can I Be Productive In My Day?

Ready to turn your productivity goals into reality? In this section, we’ll dive into practical tips and strategies you can implement daily to turn busy work into productive work. From time management techniques to minimizing distractions, these foolproof productivity hacks will help you get more done, reduce stress, and achieve your goals. Let’s get this party started!

Identifying Your Goals And Priorities

Before you can be productive, you need to know what you’re working towards. This means setting clear goals and prioritizing your tasks.

Actionable Steps:

  • Set Goals: What do you want to achieve? Write down your goals, both short-term and long-term.
  • Break Down Goals: Divide your goals into smaller, more manageable steps (think daily tasks). This will make them seem more manageable.
  • Prioritize Tasks: Organize your tasks by using a to-do list or a task management app. Prioritize the most important tasks based on importance and urgency.

One thing that helped me was to list work tasks that are ongoing week after week. For example, I write four blog posts, email newsletters every week, assign weekly tasks to my team, etc.

I decided to spread these ongoing weekly tasks over the first days of my week, always as my first task of the day. This way, I get them done before any tiredness sets in and know that the most important tasks are taken care of.

What would these ongoing tasks be for you? Starting with them might be a great way to get started in productive mode!

Time Management Techniques

To be more productive, you need to learn how to manage your time better. There is no one without the other! Here are some proven time management techniques to help you maximize your time.

Actionable Steps:

  • Time Blocking: Allocate specific time blocks for different tasks or activities (for example, from 1 pm to 3 pm for focused work or 3:20 pm to 4:20 pm for reading). This can help you stay focused and avoid multitasking.
  • Pomodoro Technique: Work in focused 25-minute intervals, followed by a short break. This technique was one of the first productivity tools I tried, and it is still one of the first ones I turn to when I need extra help finishing tasks I’ve been avoiding.
  • Eat the Frog: Tackle your most challenging task in the morning. This can give you a sense of accomplishment (and a confidence boost!) and make the rest of your day feel easier.

I’ve been using time blocking to maximize my workday, viewing it more as a mindset than a strict rule. There are days when I need the full two hours I’ve set aside for a task, and a few weeks later, I might only use forty minutes for that same task. It’s completely okay to be flexible with time blocking and adjust as needed. You won’t be cheating your time blocking by adjusting the block.  

Yes, productivity requires structure. But to make the best of this structure, you need to be able to look at it day to day and recognize if something needs to be adjusted in your calendar.

Minimizing Distractions

Distractions are the downfall of productivity. But with the right strategies, you can create a dreamy, distraction-free environment!

Actionable Steps:

  • Create a Dedicated Workspace: A messy space equals a messy mind! So, find a quiet, clutter-free space where you can focus on your work. And do your best to keep your current workspace as clutter-free as possible!).
  • Limit Digital Distractions: Turn off notifications on your phone and computer. Use website blockers to avoid time-wasting scrolling on social media.
  • Mindful Breaks: Take short, regular breaks throughout the day to rest and recharge. This can help you stay focused and avoid burnout.

I used to struggle with my office slowly getting messier until it came to a point where I would look at it and go, “Ew! Don’t feel like working today!” just looking at the mess would make me feel overwhelmed!

This changed once I reset my office space at the end of each workday. After I close my computer, I gather all the dishes that made their way into my office (more than one cup of coffee a day, anyone?), rearrange books I might have put out on the shelve and look at my desk for anything that needs to go to the trash.

Something this simple, that takes just a few minutes, does two things: first, it signals to my brain that the work day is done and now is time to focus on relaxation (if you work from home, you know how challenging this might get!). Secondly, it primes my environment for a productive day. I start a fresh day with a fresh office!

Maximizing Energy Levels

Your energy levels can make or break your productivity. These healthy habits will prepare you to be your most productive self, boost your energy, and help you stay focused throughout the day.

Actionable Steps:

  • Prioritize Sleep: The golden rule is 7-9 hours of quality sleep each night.
  • Healthy Diet: Fuel your body with nourishing foods, they can provide sustained energy to tackle your day.
  • Regular Exercise: Incorporate physical activity into your routine. Even a short workout can boost your energy levels.
  • Manage Stress: Practice stress-reduction techniques like meditation, deep breathing, or yoga.

One health commitment I made this year was to work out five times a week. For that, I allocated the time slot of 7 a.m. to 8 a.m. for workout classes. To make this work (waking up, doing my morning routine, driving to the gym, etc.), I needed to wake up at 6 a.m. every single day.

Although I loathed the early mornings (before that, I was waking up around 8:30 a.m.), I noticed that after a few weeks, with the regular exercise and bedtime routine, I stopped feeling exhausted and sluggish during the day and actually felt more energized than before, even though I was waking up earlier! Oh, the miracles of sticking to healthy habits and boosting energy levels!

Developing A Routine And Sticking To It

One reason developing a routine can be such a game changer for productivity is that a consistent routine can provide structure and predictability, making it easier to stay productive. These simple hacks can help you create and stick to your perfect routine!

  • Create a Daily Schedule: Plan your day, allocating time for work (hello, time blocking!), meals, exercise, and relaxing activities.
  • Build Habits: Small, consistent habits can significantly improve your productivity. Start with one new habit at a time and gradually implement more.
  • Be Flexible: As we shared before, while a routine can be helpful, it’s essential to be flexible and adapt to unexpected changes.
  • Reward Yourself: Celebrate your accomplishments and reward yourself for sticking to your routine. This can help you stay motivated and have fun with the process!

  • Note-Taking Apps: Keep your thoughts and ideas organized with apps like Evernote or OneNote.

Overcoming Procrastination

Raise your hand if you feel like procrastination is always stopping on your way to productivity! Here are some of my favorite strategies to help you overcome this villain once and for all:

  • Break Down Tasks: Divide large, overwhelming tasks into smaller, more manageable steps. This way, you make progress, and the small wins along the way will help keep you motivated.
  • Timeboxing: Set specific time limits for each task. This can help you avoid procrastination and stay focused (the Pomodoro Technique is one of the best ways to do that!)
  • Address Underlying Issues: If procrastination keeps getting in your way, consider addressing any underlying issues, such as fear of failure (self-sabotage, maybe?) or lack of motivation.

Staying Motivated

Staying motivated can be challenging, especially when dealing with long-term goals or things not happening according to plan. These are my go-to strategies to keep motivation going:

  • Set Realistic Goals: Keeping your goals achievable and aligned with your values will help you stay motivated.
  • Find Inspiration: Surround yourself with inspiring people, quotes, or stories that feel relatable to your journey.
  • Visualize Success: Imagine yourself achieving your goals. This can help you stay motivated and focused and even trick your brain to stay disciplined!

Measuring And Tracking Progress

Tracking your progress can be one of the most effective ways to stay motivated and identify areas for improvement. Here is how you can measure and track your productivity:

  • Set Personal Success Benchmarks: Determine specific metrics to measure your productivity, such as tasks completed, projects finished, or goals achieved.
  • Use a Productivity Journal: Keep a journal to track your daily accomplishments, challenges, and lessons learned.
  • Review and Analyze Data: Regularly review your data to identify trends, areas for improvement, and celebrate your successes, of course!

Is It Possible To Be Productive All The Time?

No, it’s not possible to be productive all the time. But that’s a good thing! And here is why: although being intentional about productivity is great, it’s also important to recognize that we’re human and need rest and rejuvenation.

Burning yourself out will ultimately hinder your productivity and overall well-being, which will mean you’ll give up on your goals. So what’s the point?

It may sound cliche, but it’s true: balance is key to sustainable productivity. By alternating periods of focused work with relaxing periods, you can optimize your performance and prevent burnout.

Remember, a well-rested and refreshed mind is better equipped to tackle challenges and achieve your goals.
